The monthly subscription is the most visible cost of software, but rarely the whole cost. Total cost of ownership (TCO) is everything you actually spend to get value from a tool over its life. Working it out before you buy prevents budget surprises and makes comparisons honest.

What goes into software TCO

  • Subscription: the headline fee - but note per-user vs flat, and annual vs monthly.
  • Setup and onboarding: one-time setup fees, data migration, and configuration time.
  • Training: the hours your team spends learning it (and lost productivity while they do).
  • Integrations: connectors or middleware (like automation tools) to make it talk to your other software.
  • Add-ons and overages: features, extra users, or usage beyond the plan that cost more.
  • Transaction or usage fees: for payments, shipping, messaging - these can dwarf the subscription at volume.
  • Switching cost: the effort to migrate in now, and to migrate out later (lock-in).
